AI prompts for customer service: 3 templates to copy
Replying to customers takes time, and every reply has to be friendly, correct and quick. AI is good at the first draft: it keeps the tone calm even when the customer is upset, and it can give you three versions to choose from. You add the facts and make the decisions.
AI prompts for customer service: 25 ready-made prompts
3 prompts you can copy
Reply to a customer email: Write a friendly, concise reply to this customer email: [paste email]. My business: [business name and what we do]. The reply must solve: [what the customer needs]. Tone: [friendly/formal]. End with a clear next step and sign as [your name].
Respond to a complaint: Help me answer a customer complaint. The complaint: [paste complaint]. What actually happened from our side: [facts]. What I can offer: [solution or compensation]. Acknowledge the customer's frustration without admitting anything that is not true, stay factual, and finish with the next step. Max [number] words.
Apologise for a delay: Write a short message telling a customer that [order/delivery] is delayed. New expected date: [date]. Reason, honestly and briefly: [reason]. What we offer to make up for it: [offer or nothing]. Tone: [warm/professional]. Do not promise anything beyond the new date.
Replace everything in [brackets] with your own details, paste the prompt into your chatbot and read the answer before you use it.
How to get better answers
Always give the AI the facts yourself: what happened, what you can offer and what you cannot promise. Then it will not invent rules or refunds.
Ask for two or three versions and pick the one that sounds most like you. Tell the AI what to change: shorter, warmer, more formal.
